Specification + Procurement
Furniture Specification
After you’ve solidified your project needs and budget, the next step is furniture specification. During this process, we continue looking for ways to increase cost savings without sacrificing functionality, performance, or aesthetics. Our team creates detailed plan layouts, specification sheets, and 3D renderings to offer options and ensure the finished product meets your expectations.
Contract Negotiation

Order Placement + Acknowledgement
Did you know that the hundreds of pieces making up a single workstation must be added to an order individually? It’s never as simple as an ‘Add to Cart’ button, but thankfully, you’ve got us. Each Project Manager thoroughly examines order details through our “triple-check” system to minimize errors or missing pieces.

Furniture, Movable Wall Installation & More
Making the selections and placing orders is just the start – our team is there with you through installation and move-in day, too. Depending on project size and scope, we use our in-house installation team or local partners to deliver an organized install. And in the case that construction is delayed, our warehouse can also help accommodate secure product storage.
Wire Management
Few things ruin a clean workplace aesthetic like poor cord management (or a total lack thereof). From laptop and phone chargers to height-adjustable tables, there’s a way to organize power cables for all this office tech. We truly don't skip any detail.
Furniture Removal / Decommissioning
We’re passionate about sustainability at Encompas and do what we can to reuse furniture our clients no longer want. For office equipment that’s still in good working condition, we can arrange for those products to find a second home. Or, if a piece is too old or worn to be repurposed, our team ensures it is upcycled into a new usable product or disposed of properly.
Move-In
Final Walkthrough
We do our best to ensure a smooth move-in process, even when something doesn’t go as planned. During the final walkthrough, our team will cover everything from replacing damaged or missing items, to furniture care instructions, electrical loads, and reviewing warranty terms.
Product Safety and Education
Moving to a new workspace can be stressful, and we’re here to help. Our team is happy to be on-site on move-in day to answer questions and help employees settle in. We want to make sure your team feels comfortable, well-equipped, and gets the most from your furniture investment. We're happy to offer on-site assistance, virtual tutorials, or additional online resources to cover topics like the following (and at no cost to you):
Adjusting equipment like computer monitor arms, task chairs and height-adjustable workstations
Cord management, like threading cords through monitor arms
Electrical best practices
Install/uninstall for movable wall panels
Post-Occupancy Support Services
Storage / Inventory Management
Want to keep the desk chairs you just ordered upgrades for? We can help with that. Our in-house installation team operates a warehouse in North Kansas City to provide clients with short- and long-term secure storage. Whether you need a place to store new furniture during construction or are hanging on to items not currently being used, we can help keep furnishings secured and accounted for.
Ongoing Maintenance / Warranties
Your furniture should last a lifetime. Our Client Service Specialists and trained technicians work directly with manufacturers to protect and maintain your investment. We make maintenance easy, too, with short- and long-term agreements to keep your furniture looking its best.
Future Space Changes
