Job Description
Reporting to the Chief Financial Officer, the Customer Service Specialist supports customers and internal project teams through order processing, warranty services, and project closeout activities. Working closely with Project Leads, Account Managers, and Project Managers, this role is responsible for entering and managing orders, tracking project progress, coordinating warranty replacements, and overseeing related installations.
The Customer Service Specialist also works directly with customers on smaller-scale furniture projects, providing quotes, processing orders, coordinating deliveries, and ensuring successful installation. This position serves as a key liaison between customers, vendors, manufacturers, and internal teams, delivering responsive service and helping ensure projects are completed accurately and efficiently.
Your job will be to:
• Manage customer invoicing, accounts receivable, collections, and payment follow-up activities.
• Process customer purchase orders and vendor invoices while maintaining accurate project and financial documentation.
• Coordinate warranty claims by working with customers, vendors, and manufacturers to identify and resolve product issues.
• Specify, order, and oversee installation of warranty replacement products to ensure successful resolution and customer satisfaction.
• Serve as the primary contact for small furniture orders, including quoting, order processing, delivery coordination, and installation oversight.
• Maintain positive relationships with customers, vendors, manufacturers, and internal team members through clear and professional communication.
• Participate in team meetings, provide status updates, and proactively drive open items to completion.
• Support Project Leads, Account Managers, and Project Managers with a variety of project coordination and implementation tasks.
• Assist with additional administrative, operational, and customer service responsibilities as needed to support team and client objectives.
Preferred Skills + Qualifications
Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
1-2 years of accounting, bookkeeping, accounts payable, accounts receivable, or related experience preferred.
Proficiency with Microsoft Office applications, particularly Excel, Outlook, and Word, and PDF software such as Adobe Acrobat.
Ability to quickly learn new systems and processes while working independently with minimal supervision.
Strong attention to detail, organization, and time management skills, with the ability to manage multiple priorities and meet deadlines.
Effective problem-solving, communication, and customer service skills, with the ability to collaborate across teams.
Professional, dependable, and trustworthy, with a commitment to integrity and ethical business practices.
Ability to maintain confidentiality of sensitive information and safeguard company assets.

Salary (dependent upon experience and industry standards) with added commission for non-warranty product orders
